About the role

We are seeking an organised, professional and customer-focused Administration Support Officer to join our team in Cairns on a fixed term full-time basis. This role is vital in supporting the day-to-day operation of the Cairns Medicare Mental Health Centre, a welcoming space offering immediate, short and medium-term mental health support to the community. As the first point of contact for clients, families, carers and stakeholders, you will play a key role in creating a responsive, warm and efficient service experience while providing high-quality administrative support to the Service Manager and the team to deliver a high level of care.

 

Key responsibilities

  • Provide high-level administrative support to the Service Manager and team, including meeting coordination, reporting, minute-taking, and document preparation.
  • Deliver reception services, managing incoming calls and enquiries, booking and confirming appointments, and greeting clients and visitors.
  • Support the service’s daily operations, including office systems, supplies, facilities, IT, and fleet coordination.
  • Maintain accurate records, support data entry and reporting processes, and assist with finance tasks including invoice reconciliation.
  • Contribute to a welcoming, safe, and culturally inclusive environment that supports the wellbeing of clients, carers, and staff.

 

What you’ll bring

  • Certificate IV in Business Administration and/or experience in administrative support in the Health, Medical or Community Services sector.
  • Proven experience in administrative support, reception, data entry, or customer service is essential; experience in community services, mental health, disability, social welfare, housing, healthcare, or government sectors is desirable.
  • High-level organisational skills with the ability to prioritise multiple tasks, work autonomously and collaboratively, and maintain confidentiality with sensitive information.
  • Proficiency in Microsoft Office and familiarity with data analysis tools and software such as SPSS, nVIVO, Power BI, and data handling techniques is desirable.
