About the role
The Property, Facilities & Procurement business unit manages and ensures effective operation of Mind Australia and its subsidiary, THF and ODMH assets and properties across Australia. The business unit is responsible for overseeing and maintaining facilities, commercial and residential properties, grounds, plant and equipment, property leases, capital projects, tenders, office relocations, supplier agreements and commercial contracts to support efficient service delivery.
We are seeking a self-motivated Property Coordinator for a 6 month fixed term, fulltime opportunity. You will provide administrative and operational support to the Property and Asset Management functions, contributing to the effective management of leased and owned assets across the national portfolios. You will acts as a central coordination point for property-related administration, including lease management, contractor and supplier documentation, compliance tracking, maintenance records, reporting, and data integrity across key property systems.
Key responsibilities
- Maintain and update FM systems with accurate lease information, maintenance responsibilities and property documentation across the national property portfolio.
- Monitor critical dates, including lease expiry and defect liability period end dates, and coordinate timely follow-up with relevant stakeholders
- Review evacuation diagrams across the portfolio, maintain accurate records, and coordinate updated diagrams where required.
- Follow up Essential Safety Measures (ESM) critical defects and non-conformances with contractors and stakeholders, ensuring actions are documented and tracked through to resolution.
- Consolidate, maintain and file Property and Facilities Management documents in the Teams folder, ensuring records are accurate, accessible and kept up to date.
What you’ll bring
- Tertiary qualifications in either Property Management, Facilities Manager, Project Management or a related discipline.
- Previous experience in property administration, facilities management, fleet management support, project administration, or a similar role.
- Strong administration and systems capability within facilities, property, fleet, or project environments.
- Relevant experience in facilitating group activities for clients experiencing mental ill health.
- Demonstrated understanding of the NDIS and Community Services sector and ability to build strong relationships with service providers, clinical teams and key stakeholders.
- Understanding of commercial and residential leases, property compliance obligations, and Planned Preventative Maintenance (PPM) programs.
- Experience coordinating contractors, suppliers and service providers to support timely delivery of facilities, property or fleet-related activities.
