About the role
We are seeking an organised, professional and customer-focused Administration Support Officer to join our team in Cairns on a permanent full-time basis.
As the first point of contact for clients, families, carers and stakeholders, you will play a key role in creating a welcoming, responsive and accessible service experience. You will provide reception, client support and high-quality administrative assistance to the Service Manager and multidisciplinary team, ensuring the effective day-to-day operation of the Cairns Medicare Mental Health Centre.
This is a varied role that includes reception and customer service, meeting coordination, reporting, document preparation, data management, finance administration, facilities coordination and stakeholder engagement.
About the Service
The Cairns Medicare Mental Health Centre, delivered in partnership with Cairns and Hinterland Hospital and Health Service, provides a welcoming, low-stigma alternative to emergency departments for people experiencing psychological distress or crisis. Operating 7 days a week, the centre provides immediate support, telehealth, and outreach services.
Key responsibilities
- Act as the primary point of contact for clients, carers, families and stakeholders, providing professional reception and customer service support.
- Manage enquiries, appointments, correspondence and visitor interactions in a timely, confidential and responsive manner.
- Provide high-level administrative support to the Service Manager and team, including meeting coordination, reporting, minute taking and document management.
- Maintain accurate records and support data entry, reporting and finance administration activities, including invoice processing and reconciliation.
- Coordinate office systems, facilities, equipment, service supplies, IT support and fleet bookings to ensure the smooth operation of the service.
- Build positive relationships with internal and external stakeholders and contribute to a welcoming, safe and culturally inclusive environment.
What you’ll bring
- Certificate IV in Business Administration and/or experience in administrative support in the Health, Medical or Community Services sector.
- Proven experience in administrative support, reception, data entry, or customer service is essential; experience in community services, mental health, disability, social welfare, housing, healthcare, or government sectors is desirable.
- High-level organisational skills with the ability to prioritise multiple tasks, work autonomously and collaboratively, and maintain confidentiality with sensitive information.
- Proficiency in Microsoft Office and familiarity with data analysis tools and software such as SPSS, nVIVO, Power BI, and data handling techniques is desirable.
